Different ways to process inbound email

Processing inbound email:

There are various ways our e-mail software can automatically process email when it arrives, here are the basic options:

  1. A copy is where you receive e-mail in an account, and then send a copy on.  Using this method you end up with 2 copies of the message (one in each mailbox)
  2. A forward is where you have a mailbox, but get messages moved to another one on our server upon arrival.
  3. A remote mailbox (address) is the same, but works for external mail-servers also.  A remote mailbox does not require a mailbox on our mail server.
  4. An alias is a second name for one mailbox. (one mailbox with 2 or more email addresses).  It's easy to confuse alias with copy in some circumstances.

You also have the ability to process "unknown accounts" - You can choose between "reject", "delete", and "forward (catch all)".  This is for when a message gets sent to an address in your domain, mailbox that does not exist.

We can also set up a "Responder"  which can automatically respond to an inbound email, though this is not recommended because this is generally best done in your mail client via an out of office reply (and is a risk, because it may respond to spam).

It is also possible to set up inbox rules, both on our server - "server-side" via web-mail, or a request to us and likely in your own e-mail software also "client-side".  These are generally used for sorting e-mail into folders, or processing potential spam.

It can be quite confusing, especially when you use more than one of these methods at the same time to follow exactly what's happening or set it up the way you would like.
